4 Purpose for the Processing of Personal Data

Personal Data recorded in the Register is processed for the purposes of managing, maintaining, developing and analyzing the relationship between Relex and its customers. The information and personal data may be used for direct marketing including electronic direct marketing. The information and personal data may also be used for investigation and follow up in cases of suspected misuse as well as for planning and development of the business activities and services of Relex and for measuring the amount of customers and conducting customer surveys.
Personal data may also be processed by subsidiaries of Relex.

5 Recorded Data

The following customer data may be recorded in the Register:
– name, title, company, e-mail address, phone number, position/job description when given by the customer
– customer history (for instance contacts, orders of newsletter and articles)
– prohibitions and consents for direct marketing and
– other information given by the customer

6 Regular Sources of Data

The data to be recorded in the Register is provided by the customers when using the electronic forms available on Relex website.

7 Disclosure and Transfer of Personal Data

Relex does not regularly disclose the information and personal data recorded in the Register for any third parties. However, occasionally information and data can be disclosed in accordance with the Finnish law.
We may store information on servers located in the United States via our service provider Hubspot, more about their security here.

8 Security of the Register

Only employees who need the customer information to carry out their work assignments can access the system containing customer data. Each person having the access rights to system has individual username and password. Access control system is in use in the premises of the holder of the Register. The personal data saved in the Register is collected into joint databases which are secured with firewalls, passwords and other appropriate technical measures. Databases and their back-up copies are stored in locked premises and data can only be accessed by named persons.

9 Right of Access and Correction of Data

In compliance with the Personal Data Act, everyone is entitled to access the data regarding him/her and request rectification of erroneous or incomplete data that has been recorded into the Register and use otherwise protective measures granted in Personal Data Act. The requests shall be made in writing to the contact person mentioned in section 2.

10 Other Rights of the Data Subject

Pursuant to the Personal Data Act, the data subject shall be entitled to prohibit processing of data for direct advertising, distance selling and other direct marketing as well as for conducting market surveys and opinion polls. Such prohibition can at any time be submitted to the contact person mentioned in section 2.
